If you’re contemplating getting married in regional NSW and have a distinct vision for your wedding but need help bringing it to life, I can be your wedding coordinator. On the actual day, I’ll be with you from start to finish, ensuring you can simply relish the joy of being newlyweds.

 

Full Wedding Coordination Service – What’s Included

As your full wedding coordinator, my role is to take the stress out of planning and executing your wedding, ensuring every detail is carefully managed so you can enjoy your special day to the fullest. Here’s what you can expect:

In the Lead-Up to Your Wedding Day

  • Initial Consultation: We’ll start with a meeting (in person or via Zoom) to dive into your vision, preferences, and priorities. This one-hour session helps me understand your needs and ensures I can tailor my support to help bring your dream wedding to life.
  • Vendor Guidance and Booking: I’ll provide you with a curated list of vendors that align with your style and budget. If needed, I can coordinate meetings or calls with vendors to help you make informed decisions.
  • Detailed Run Sheet: I’ll create a comprehensive timeline for your wedding day, coordinating with your vendors to ensure everyone is aligned and every detail flows seamlessly.
  • Contingency Planning: Together, we’ll devise a wet-weather or backup plan to handle unforeseen circumstances, giving you peace of mind no matter what the day brings.
  • Unlimited Support: I’ll be available via email and phone to answer questions, provide advice, and address any concerns you may have throughout the planning process.
  • Vendor Coordination: In the weeks leading up to your wedding, I’ll confirm all logistics with your vendors, including bump-in and bump-out times, setup details, and delivery locations.
  • Styling Oversight: If you’ve hired a stylist, I’ll supervise their setup to ensure your vision comes to life, whether the day before or the morning of your wedding, depending on your venue’s requirements.

On Your Wedding Day

  • Vendor Management: I’ll coordinate the arrival, setup, and departure of all vendors, ensuring everyone is in the right place at the right time.
  • Event Execution: I’ll oversee every detail of the day, from setup to the smooth execution of your ceremony and reception. My focus is on ensuring everything runs on schedule and to plan.
  • Point of Contact: I’ll act as the central point of communication for vendors, guests, and the venue, handling any issues or last-minute changes so you don’t have to.
  • Support for You: My priority is your comfort and happiness. I’ll protect you from distractions, resolve disruptions, and ensure you’re relaxed and fully present for every moment.
  • Comprehensive Presence: I’ll typically arrive 2–3 hours before your ceremony and remain on-site until the ceremony concludes and the reception setup is complete, usually around 5–6 pm.

With my full coordination service, you can rest assured that every detail will be handled with care and professionalism, leaving you free to enjoy the joy and magic of your wedding day.

On-the-Day Wedding Coordinator Service – What’s Included

As your on-the-day wedding coordinator, my role is to ensure your wedding day is seamless, stress-free, and exactly as you envisioned. While the title suggests involvement primarily on the wedding day, my support usually begins around 1 month before your big day.

Here’s what I do in the lead-up to your wedding:

  • Understanding Your Vision: We’ll have a detailed consultation to discuss your plans, timeline, and preferences. I’ll review your vision and ensure I understand every detail, from styling and décor to key moments during the day.
  • Vendor Liaison: I’ll connect with all your vendors to confirm arrival times, services, and setup requirements, ensuring everyone is on the same page. This also includes sharing your finalised timeline with them.
  • Timeline Finalisation: I’ll create or refine a comprehensive timeline for the day, covering all key events, from vendor arrivals to the ceremony, reception, and final bump-out.
  • Venue Walkthrough: If possible, I’ll visit your venue ahead of time to familiarise myself with the layout and confirm logistics, ensuring a smooth setup and flow on the day.
  • Problem-Solving: I’ll proactively identify and address potential issues, offering solutions so you can relax knowing every detail is handled.
  • Wet Weather Contingency Planning: If you’ve got a backup plan for unexpected weather, I’ll work with you to finalise the details and ensure it’s ready to implement.

This preparation ensures that when your wedding day arrives, I can focus entirely on executing your plans, coordinating vendors, managing any disruptions, and keeping the day running smoothly, so you can enjoy every moment.

On Your Wedding Day

As your on-the-day wedding coordinator, my role is to ensure that your special day unfolds seamlessly and stress-free.

Here’s what I provide:

  • Stylist Supervision: If you have a stylist, I’ll be present during their setup, whether the day before or on the wedding day itself, ensuring every detail aligns with your vision and venue requirements.
  • Vendor Coordination: I’ll manage your vendors’ arrival, setup, and departure times, ensuring everyone is in the right place at the right time for smooth execution.
  • Wet Weather Backup Plan: Should the need arise, I will help implement your wet weather contingency plan efficiently and with minimal disruption.
  • Point of Contact: As the main point of contact, I’ll handle any issues or questions from vendors, guests, or the venue, shielding you from unnecessary distractions and addressing any unexpected challenges that arise.
  • Care for the Couple: My top priority is ensuring that you, the newlyweds, are relaxed, well-informed, and fully able to enjoy your day without stress.

I will typically arrive 2–3 hours before the ceremony begins and will remain on-site throughout the day, ensuring the ceremony runs smoothly and the reception setup is complete. My involvement generally extends until approximately 5–6 pm, depending on the requirements of your event.

Master of Ceremonies

Selecting a Master of Ceremonies (MC) for your wedding reception can significantly enhance your celebration. In my role as your Master of Ceremonies, I bring forth a myriad of advantages contributing to the success of your event. With extensive experience, an entertainment flair, unwavering reliability, and a touch of lightheartedness, I am dedicated to transforming your reception into a memorable and joyous occasion. Entrusting me with this responsibility ensures a seamless flow of events, engaging entertainment, and a vibrant atmosphere aligned with your vision. Your wedding reception becomes an unforgettable experience, etched in the hearts of all in attendance.

What’s Included
  • I will aid you in creating an engaging reception program that blends timeless traditions with innovative games.
  • I am available to provide assistance and support to those delivering speeches
  • I will help you put together a guest photo session list for after the ceremony and be there to help the photographer coordinate the order so that this runs smoothly.
  • I will share instructions with your guests on what has been arranged for them between the ceremony and reception.
  • Throughout the evening, I will maintain communication with your reception service providers, including the DJ, band, photographers, and wedding planner/coordinator or venue manager. This ensures they are well-informed about the timings and scheduled activities, guaranteeing the smooth adherence to your timeline.
  • I will work closely with the venue manager or mobile food services to ensure the smooth execution of food and drink service.
  • I will announce the arrival of the wedding party, manage speeches, organise activities, and supervise traditional elements such as cake cutting and the couple’s first dance.
  • The Master of Ceremony service will start 15 minutes before the scheduled reception and last for 3 hours. If you desire an extension beyond the initial 3 hours, this can be arranged in advance at a rate of $79 per 60 minutes or part thereof.

NOTE

An extra travel fee will be applied for weddings where the round trip from Millthorpe to the wedding venue exceeds 100km. Furthermore, depending on the distance, an accommodation fee may be applicable.
